Documenting a Day/ Role of Applications
In the world of IT, you need an arsenal of programs to input, share, and present information. Whether it’s for a collaborative project or information that needs to be processed, numerous programs are available for such instances. For those who need all the programs bundled for their professional needs, there is Microsoft 365. It is a subscription-based service that provides you with Word, Excel, PowerPoint, Outlook, and OneNote. For this paper, we will review Word, Excel, and PowerPoint as they relate to the assignment that our class participated in. Each of these three applications has its strengths and weaknesses; however, to be successful in IT, one must know how and when to utilize them effectively.
To utilize these applications
effectively, we must first understand their purpose. To start with, Microsoft
Word is a word processing software that enables us to create digital documents,
such as papers or reports. Some key features of Word include text editing,
formatting functionality, and productivity aids. You can select multiple fonts,
insert tables of contents and charts, and insert citations for references.
Next, we have Excel, which is a spreadsheet software. Excel is primarily used
for data organization and mathematical calculations. Excel allows us to display
important information in rows and columns. Other features of Excel include the
use of formulas and functions that are required to automate mathematical
calculations for data. Lastly, we have PowerPoint, a presentation software.
PowerPoint enables us to present our ideas to audiences using visual aids. With
PowerPoint, we can use slides with templates and multimedia integration to
present information with ease. All these applications share a common goal: to
input data and provide a visual representation of that data.
While all these applications share a
common goal, some applications have limitations that may prevent you from using
them for certain purposes. Microsoft Word, for example, excels in text
formatting and supports a wide range of file formats, including .docx, .pdf,
and .txt. However, it is incapable of processing large amounts of data and can
be less responsive with large documents. Microsoft Excel’s biggest strength is
its ability to organize, analyze, and visualize large datasets, as well as
provide mathematical functions and formulas. The downsides of Excel come from
its steep learning curve when learning the advanced features of the application
and its limited design layouts. Lastly, Microsoft PowerPoint excels in creating
professional multimedia presentations for collaborative efforts. Its main
drawback is its limited data handling when involving complex charts.
Given the pros and cons of each
application, I have concluded that Microsoft Word was the best choice for this
week’s assignment. Due to the nature of describing ten tasks completed in a
day, I found that a journal entry using Word effectively described the tasks. I
was able to articulate my actions and create a numbered list of ten of my
activities, which I found was the easiest way to digest the information. I had
no need for detailed datasets in Excel or large visual aids in PowerPoint; they
would only bloat the information. If the curriculum for the assignment were
different, I could see myself using Excel and PowerPoint more often than Word.
For example, if I needed to track how often I completed certain tasks
throughout a week, I would recommend using Excel. If I needed to create a
visual presentation for a large audience, I would recommend using PowerPoint.
After working with Microsoft Word,
Excel, and PowerPoint, I have come to understand their primary strengths and
limitations. Each application is crucial to the collaboration of any scale in a
professional scenario. Utilizing the strengths of each application will lead to
a higher success rate in any workplace setting.
